School Contact to Assist with Annual Program Enrollments

Situation

To kick off its third year, the non-profit Oregon Governor’s Council on Physical Fitness and Sports mailed approximately 1300 Oregon school administrators an introductory packet to the "Shape Up Across Oregon" program to generate interest in participation for the upcoming school year. Since the program was only two years old and participation had been relatively low, the majority of the mailers were not addressed to the school staff member that would likely supervise the program for their individual student body. The Council needed assistance in contacting each of the schools in a short period of time as a follow-up to the introductory mailers.

Objectives

The main objectives of the contact program were to 1) make the schools aware of the "Shape Up" program, 2) identify the main contact at the school, 3) identify schools that may require follow up by The Council staff to increase program participation.

Solution

The program began by receiving school and contact data from The Council and importing the data into our contact center solutions call program. ATI agents made all contact attempts in the name of The Oregon Council.

On the initial contact effort ATI attempted to reach administration staff provided on the data file by The Council. Once the school administrator was contacted, ATI agents inquired if they had received the "Shape Up Oregon" packet, their interest in the program for the school, and who was to be the main staff person overseeing the program. If the person initially contacted was not responsible for the program, ATI agents asked for alternative contact information and a good time to reach them if necessary. If ATI determined that a follow up contact was warranted, the alternate staff person was queued for a follow up phone attempt at the number provided by the initial call.

When the responsible staff person was contacted, ATI provided them with general program information, directed them to the web site for enrollment and additional information, and provided a contact number into The Council main desk.

Results

The program met our client’s objectives of increasing awareness in "Shape Up Oregon", discovering schools interested in participating, and greatly improving their contact list and telephone numbers to use for future mailing and communications. The year of ATI involvement saw an increase to 129 schools and more than 33,000 students across Oregon participating in the program.
